The GTD System: Modern Tools Get the Best Results

Even if you don’t use the full GTD® system, the ideas here can still help you work more calmly and effectively. Covering every great idea in Getting Things Done is beyond the scope of a single blog post. But I hope this gtd system article has given you a taste of Allen’s transformative methodology. If you aren’t vigilant, your calendar can turn into a useless mess. Typically, this happens when you’re confused about the purpose of your calendar.

Once you divide tasks by projects, you can use statuses (done/not done, review/in progress, or even create custom statuses), add priority flags, start and due dates to achieve better organization. To perform a weekly review, look at your calendar and all your task and project lists. Check off any items that are complete, update anything that has changed, and look at what’s coming next week. When the time comes you can move it onto your projects list if and when you need to. One of the few academics who has seriously explored knowledge-work productivity in recent years is Tom Davenport, a professor of information technology and management at Babson College.

Part of that vaguery makes it easy to remix and personalize it to match your needs, but it also makes it difficult to approach. Up until now, there has been little will to instigate this shift in responsibility for productivity from the person to the organization. As Davenport discovered, most knowledge-work companies have been more focussed on keeping up with technological breakthroughs that might open up new markets. To get more done, it’s been sufficient to simply exhort employees to work harder.

We’ve all saved to-dos as “unreads” in our inbox to get back to later. But these things take up mental space and aren’t actually productive. Instead, turn each to-do into an actionable task—and immediately move it into the appropriate project. Don’t worry if the work you capture isn’t organized or well documented. The first step is simply getting your stuff out of your brain and into an external source.

Productivity 101: How to Use the Getting Things Done (GTD) Method

You might think that David Allen himself uses some expensive planner, or a plethora of to-do apps to do what he does. In fact, his workspace always has notepads nearby, so he can jot down ideas and to-dos quickly and get them out of his head. That all sounds great, but GTD also has a reputation for being complicated.

  • It makes it easy to capture ideas, clarify and organize them, review the system, and round up the whole story by giving you results.
  • If so, decide the next action and project (if more than one action is required).
  • But the things you do are more than just todos, they are the way you are spending your life.
  • The central tenet of GTD is to capture everything and put it into a trusted system so that you can make appropriate decisions about what to do when.
  • And to twist a line from Glengarry Glen Ross, you should Always Be Capturing.

” at any given moment without worrying that you might forget something important you need to do later. Lastly, you can attach images, spreadsheets, docs, presentations, and any other file to your tasks to have everything that you need to get things done at your fingertips. Note that Remember The Milk is a great get things done app for personal stuff but lacks advanced task management and collaboration features. This app makes it super easy to add new tasks and enter properties per each, such as tags, priority, due date, etc. And then, Remember The Milk lets you organize lists by these attributes but also color-code them to make getting things done more fun. TickTick is a fancy-named, GTD-based app that can help you organize personal and work tasks while staying creative.

Why You Waste So Much Time & How to Stop

As mentioned above, create a column where you will put everything that comes to your mind. For example, let’s say you see a poster for a concert that’s not for several months. You know you want to attend if you’re available, but you don’t know what your schedule will be.

A project is anything that contains multiple steps in order to complete it. Task management tools that follow the GTD method will allow you to add custom task views with filters. These filters could be a priority, due date, assignee, keywords, creation date, etc. Such apps also automate the GTD method through views like today, upcoming, view next, contexts via a label, etc. Any task that requires more than one action is a project in David Allen’s GTD method.

You must also decide “the next physical, visible activity that needs to be engaged in, in order to move the current reality of this thing toward completion” (38). This far more concrete description will help you decide the specific actions you need to take to complete your research project. Instead, Allen argues, most people’s issue is a lack of clarity about the outcome they desire and the actions they need to take to reach it (15). It’s really easy to fall out of the habit of looking at our lists and reflecting on what to do.
